How to Create Email Filtering Rules

Email filtering is an effective way of managing your incoming email. By applying filtering rules, incoming email is automatically processed according to your own predefined criteria. Mail can be moved, deleted, replied to, forwarded, flagged, etc.

Examples

  • send mail from a specified address to a folder
  • send mail with a specified subject to a folder
  • send an autoreply to incoming mail
  • forward a copy of specific mails to another email address or folder
  • delete mails which contain certain words

While it is possible to set up email filtering in your mail programme (e.g. Outlook), the most effective method is to set up rules directly on the server, using Webmail (even if you never use WebMail to access your mail). The rules will then be effective across all your devices.

Create email filtering rules

  1. Browse to the Webmail login page
  2. Log in with your full email address and email password, then click [Webmail Login]kh-webmail-login
  3. Click on Settings (the cog icon at the top right) kh-webmail-settings
  4. Select Filters from the menu on the left                                kh-webmail-filters
  5. Using the roundcube (default) filter set, click the [+]  at the bottom of the Filters section kh-webmail-filter-add
  6. Create the relevant filter under the Filter definition section kh-webmail-filter-definitionSelect the Save button
    1. Give the filter a name
    2. Choose the incoming mail criteria using the dropdown arrows
    3. choose the actions which should be executed using the dropdown arrows

Please note that these filtering rules do not only apply to Webmail; the filters are always active and will apply as the server receives email.

Only one filter set may be active at a time.
